Position Summary
The Office Administrator / Accounting Coordinator is responsible for supporting daily administrative and accounting
operations of the company. This position oversees accounts payable, payroll administration, and general office
coordination. The role requires strong organizational skills, attention to detail, and the ability to work independently in a
fast-paced construction environment.
Administrative and Office Support
Professionally answer, screen, and direct incoming telephone calls from vendors, clients, and subcontractors.
Maintain company calendars; coordinate meetings, appointments, and company-sponsored events.
Manage and distribute incoming and outgoing mail and deliveries.
Provide general administrative support to visitors and internal personnel.
Maintain office supply inventory and coordinate procurement of office services, including janitorial services.
Accounts Payable:
Process vendor invoices in a timely and accurate manner.
Manage subcontractors pay applications and ensure proper collection and documentation of lien waivers.
Prepare, print, and distribute checks.
Track, reconcile, and maintain accurate records of company credit card receipts and expenditures
Payroll Administration:
Collect, review, and verify employee work hours for weekly payroll processing.
Process payroll accurately and in a timely manner.
Prepare and submit certified payroll reports when required by project or regulatory guidelines
Required Qualifications:
Minimum of five (5) years of experience in an administrative role (construction industry experience preferred).
Experience with Procore, Microsoft Office Suite, and Bluebeam.
Clerical accounting experience includes data entry, payroll processing, and invoicing.
Strong understanding of basic accounting principles and office procedures.
